Important travel information

Dear Colleagues,
I’d like to take this opportunity to remind you of important things to consider before you travel, including exemptions from insurance, premium economy travel and avoiding credit card fraud. The last point is very recent, and annoying.
Preparing to travel
- Please discuss with your supervisor before booking tickets.
- Please submit your travel request at least one week before departure. If you travel before it is approved you may not be covered by ANU insurance.
- In your eForm please include travel documentation such as an email of invitation to visit a colleague, a conference program highlighting your presentation or poster, etc.
- Please register with Smart Traveller https://smartraveller.gov.au/
Travel Insurance
- Make sure you are fit for travel. An important point is that pre-existing medical conditions will not be covered unless you have pre-trip approval. If you are uncertain about your pre-existing medical condition please contact insurance.office@anu.edu.au or call x58734. A doctors certificate may be required for some conditions. Please note, the ANU insurer does not provide a list of types and severity of conditions excluded by their policy. It is best to ask.
- ANU travel insurance information can be found at; https://services.anu.edu.au/financial-management/insurance/policies-claims .
- It is recommended that you print the attached form and carry it with your travel documents. It covers frequently asked questions as well.
- In the event of an Emergency, using reverse charges, call the CHUBB Assistance number (Australia: +61 2 8907 5995) and quote the following;
i. Name of Insured: Australian National University
ii. Policy Name: Travel Insurance
iii. Policy Number: 01PP528643
iv. Contact Number: Provide your best contactable phone number
v. Nature of assistance required: Advise what assistance you require
- The ANU will insure those travelling for less than 60% of an ANU trip provided the trip is approved before departure and the personal portion of the trip is not to a high-risk destination.
- People over the age of 75 will not be covered by ANU insurance and you are advised to seek independent cover.
Travel Class
- Only economy class travel is permitted. For special exemptions please see the policy (https://policies.anu.edu.au/ppl/document/ANUP_000676 ). If you travel on premium economy or business class without approval you will be asked to refund the difference.
Using ANU Purchase Card for Travel
Australia and New Zealand Banking (ANZ) now requires all ANU Purchase Card holders travelling overseas to register coming trips with them, for each and every trip. This is new and I’ve found the best procedure is;
- Please call; 1800032481 (note this is usefully on the back of your Corporate card, together with the overseas assistance number, which should be keep separately from your card should it be stolen).
- You will need to need establish a verbal password. To do this they will need general personal ID data such as:
i.Your date of birth
ii.Know your credit card limit
iii.Have the details of a very recent receipt at hand
- You will need to know dates of travel and country level destinations.
- You WILL need to do this EVERYTIME you travel overseas in future. The verbal password will speed things up.
